Job Posting: Summary of Essential Job Duties: The Mailing and Distribution Specialist will oversee Cedars-Sinai's internal and external direct mail programs, lists and processes while overseeing all aspects of product and material storage. The Mailing and Distribution Specialist will build and maintain relationships with external mailing houses and negotiate business partnerships for current and future projects as well as ongoing mailing business and liaise with internal and external departments and stakeholders regarding ongoing mailing needs. Responsibilities include:
Managing Mailing Programs such as Suppression lists, Insurance and Individual Conversion (including monthly Medicare and Medicare Advantage annual enrollment and age-ins, Individual and Family, Direct to Employer, Vivity and Commercial support, Brokers, etc.), Publications (including but not limited to multi-annual Discoveries, Catalyst, Embracing Our Community, New Patient Publication, Quality Report and annual reports such as Institution, Health, GI, Ortho, Etc.) and B2C, B2B (including Physician to Physician, Business to Business and Community Partners)
Managing Mailing Process to ensure timing/cadence of communications is aligned with all other departments/initiatives
Managing and tracking postage budgets and directly impacting cost savings
As a member of the Project Management team, the Mailing and Distribution Specialist collaborates with and offers Subject Matter Expertise to the departments of Project Management, Marketing, Fundraising, Donor Stewardship, Health System Operations, Communications and Brand Strategy.
Vendor Management (including assessment of their complex multi-piece capabilities, bidding and negotiations, directing the fulfillment centers, mailing houses and list purchasing resources while overseeing delivery of materials, Develop and maintain relationships with print vendors and inventory warehouse staff to ensure collateral delivery, ordering and storage, etc.)
Manages Storage including deciding on best options for how items are stored as well as where (local vs out-of-state) for all items including amenity kits, paper items, etc.
Updates suppression files and mailing lists with consideration of PHI and HIPAA and assists with reprints (up to 500 requests annually) via ticketing system and
5 years of experience managing corporate internal and external multi-piece mailing and distribution operations
Ability to meet deadlines in quick turnaround environment
Exercising independent judgment and critical thinking
Stakeholder relationship management
Knowledge of USPS requirements and rules as they apply to non-profit Physical Demands: Hearing sufficient for telephone conversations; Vision sufficient to work on a computer; Ability to type and enter data using a keyboard
